Wabash Valley Sportsmen's Club ("the Club", "we", "us") operates the website at wabash-valley-sportsmen-s-club.pages.dev. This policy explains what information we collect, how we use it, and your choices.
Information We Collect
Information you provide directly
- Team registration: When you register a team for the trap league, we collect your team name, the names of your shooters, your name, and your email address.
- Merchandise orders: When you purchase merchandise, payment and shipping information is collected and processed by Stripe (our payment processor) and Printful (our fulfillment partner). We do not store your full payment card details on our servers.
- Push notifications: If you opt in to push notifications, we store a browser-generated subscription token. No personally identifying information is included in this token. You can revoke it at any time through your browser settings.
Information collected automatically
- Server logs: Our hosting and security provider processes network traffic and may collect standard access logs (IP address, browser type, pages visited) for security and performance purposes. The provider's privacy policy applies to this data.
- Google Maps: The map embedded on our contact page is provided by Google Maps. Google may collect data when you interact with the map. Google's privacy policy applies.
How We Use Your Information
- To process and communicate about team registration requests
- To fulfill merchandise orders and send shipping updates
- To send push notifications you have subscribed to
- To maintain league records and scores for the current season
We do not sell, rent, or share your personal information with third parties for marketing purposes.
Data Retention
Different categories of information are retained for different periods:
- Active season data (rosters, scores, matchups, schedules) — retained for the duration of the current season, then archived in summarized form.
- Denied team registration requests — automatically deleted 90 days after the denial decision. The applicant has already received the decision by email at that point and has no ongoing relationship with the club.
- Operational data (check-ins, scorer sessions, backup snapshots, mystery bird drawings) — cleared at the end of each season.
- Season archives (summarized historical league data) — retained indefinitely for the club's historical record. Personally identifying details beyond shooter names are not retained in archives.
- Member sign-in records (the email allowlist used for member login) — automatically pruned after 24 months of inactivity (no sign-in for two full seasons). Active sign-in sessions expire at the end of each season.
- Sub-pool entries — retained until the sub asks to be removed or a board member removes them.
- Push notification subscriptions — retained until you revoke them in your browser or device settings.
- Chat assistant logs — automatically purged after 7 days.
- Email unsubscribe records — retained indefinitely so we don't accidentally re-send to people who have opted out.
You may request deletion of your information at any time by contacting us (see "Your Rights" below).
Sale or Sharing of Personal Information
We do not sell or share personal information as those terms are defined by the California Consumer Privacy Act (CCPA/CPRA, Cal. Civ. Code §1798.140). We have no advertising partners, no behavioral-tracking integrations, and no data brokers. Because no sale or sharing occurs, no opt-out mechanism is required and none is provided.
Cookies, Local Storage, and Tracking
We use only items that are strictly necessary for the site to function: a bot-management cookie set by our security provider, a session cookie if you sign in, and a small acknowledgement flag in your browser's local storage if you dismiss the welcome banner. We use no advertising, analytics, or cross-site-tracking cookies or scripts, so no consent banner with reject/accept controls is required under any current US privacy law.
Third-Party Services
We use a small number of third-party service providers to operate the site. We list them by category here; each provider has its own privacy policy that governs the data they collect.
- Hosting, CDN, and security provider — serves the site and processes basic traffic logs
- Stripe — payment processing for merchandise orders
- Printful — merchandise fulfillment and shipping
- Transactional email service — delivers sign-in links and registration confirmations
- Browser and operating system push services — deliver push notifications you opt in to
- Google Maps — embedded map on the contact page
Children's Data
The trap league welcomes shooters of all ages, including under-18 youth members. We try to keep what we collect about minors to the absolute minimum needed to run a league.
- We do not allow minors to register themselves or create accounts on this site. All under-18 shooters are added by their team captain as part of a team registration.
- We collect only the shooter's name (no date of birth, address, phone, photo, or any other identifying details) for league records, the same as any adult shooter on the roster.
- We do not collect a separate parent or guardian contact through this website. For shooters under 13, federal COPPA law requires a separate parental consent process. Your club may handle this through a paper consent form signed by the parent at the club — check with your board.
- A parent or guardian may at any time request that we remove their minor child's name and score history from the league records and from the site. Contact us through the channels in the "Your Rights" section below.
- Minor shooter names follow the same retention as adult shooters: active during the season, then preserved in the season archive alongside the rest of the team's roster and scores.
Your Rights
You may request to access, correct, or delete personal information we hold about you. To make a request, contact the club through any of the following:
- Email: admin@wabashvalleysportsmen.com — include "Privacy Request" in the subject line. A board member will respond.
- Facebook: send a message through our Facebook group .
- In person: attend a club meeting and speak with a board member directly.
We will respond to verifiable requests within a reasonable time. Some types of data are kept for league records (shooter names on team rosters, score history, and past season archives) and removing them affects league standings — for those, the board will follow up to confirm scope before making changes.
Changes to This Policy
We may update this policy from time to time. The "last updated" date at the top of this page will reflect any changes. Continued use of the site after changes constitutes acceptance.
